Email Signature Best Practices

GlobiMail tries to intelligently remove signatures and message history to prevent clutter in your Podio account.

For example, this email:

Please resend the latest proof of your design concept.
Thanks
--
John Smith
ACME Corporation
www.acme.com

Begin forwarded message
etc

Becomes this comment:

From: John Smith
Please resend the latest proof of your design concept.
Thanks

Unfortunately, there are no rules for signatures, and there are no indicators of what is a signature and what is not.

GlobiMail has a bunch of text patterns it looks for to try to identify a signature, but since people can be very creative with their signatures, GlobiMail may not catch them all.

To help GlobiMail find your signatures, here are some guidelines:

The original Dashed Delimiter

Before the days of HTML emails, it was standard practice to use two dashes to indicate a signature. For example:

--
John Smith
etc

Many email clients and software systems look for this pattern, and if you simply start your signature with a single line with 2 dashes, you could prevent a lot of clutter.

Your Name as a Delimiter

GlobiMail also looks for your name as defined in your email client. But it needs to be exactly as defined in your email client.

If you set your name to "John Smith", then emails would come from "John Smith" and GlobiMail will look for a single line with "John Smith".

For example, this signature is good:

John Smith
ACME Corporation
etc

The following signature however will not work:

John Smith, BSC
ACME Corporation
etc

Equally, sending an email from "ACME Corp" and signing it as "john Smith" won't work either.
